Job Title: Contract Coordinator

Location: Vancouver, BC with 1 week per month travel to Tumbler Ridge (or as required)

Primary Purpose

The Contract Coordinator is accountable for effectively developing and leading the Company’s focus of Contract Stewardship. This involves the timely execution of contracts, establishment of controls as well as monitoring Contractor performance. This position forms a critical link between Site Customers, Supply Chain and Conuma’s Contractor base. The position will focus on strong tendering management and the formulation of Contracts in accordance with legal and Corporate Governance.

Conuma is a leading Canadian producer and exporter of metallurgical coal for the global steel industry.  In 2016, Conuma acquired Walter Energy’s Canadian assets, which consisted of three metallurgical coal mines in northeast British Columbia. These mines now make up the company’s Canadian operations. The company is well-positioned to meet the world’s growing demand for metallurgical coal products. With ready access to both the Atlantic and Pacific oceans, Conuma is able to serve customers in South America, Europe and Asia.

Duties and Responsibilities

The Contract Coordinator must have strong communication, time-management and technical skills and be capable of building relationships both internally and externally.

Key Technical Outputs

  • Ensure site procurement is effectively covered through contract implementation with a goal of >90% of spend
  • Support Contract holders through all phases of commercial stewardship and contract management post award process
  • Support Contract holders in enforcing and managing all Safety Programs and edicts of the Company
  • Ensure Contractor performance is tracked across all contracts, contractor meetings are held for relevant contracts and status reports and key actions or corrections are communicated regularly to all stakeholders
  • Ensure compliance with all legal statutes, Conuma policies and Code of Business Conduct
  • Support Contract holders in matters of billing reconciliations, focusing on time verifications, equipment logs, and rates charged
  • Assist the Finance Team with the timely authorization of Contractor invoices to ensure Contract obligations are met
  • Ensure appropriate document management processes are in place to provide effective audit trails pertaining to all transactions and commitments
  • Identify opportunities for improvement through start to finish contract management focusing on the efficiency of services provided and the actual outcomes
  • Responsive to training and development in all aspects of the role, particularly updating system knowledge, technical developments and statutory obligations
  • Safely and efficiently perform electrician duties in an assigned area on an assigned shift
  • Ensure the reliability of the overall electrical systems in both the process plant and open pit mine

Team Involvement

  • Work closely with Site Procurement and other members of the Supply Chain, mentoring towards best Contract practices and becoming a secondary resource in contract governance
  • Identify areas for overall staff development

Stakeholder Management

  • Lead the Contract process by working collaboratively with all internal and external stakeholders for the establishment and delivery of performance targets
  • Continually assess Contracts performance against Business requirements, actively soliciting feedback from all relevant stakeholders to identify and correct gaps and ensuring Contract targets and performance are effectively communicated to all stakeholders


  • Comply with all Conuma Coal Resources HR, safety, technical, environmental, operating and business systems
  • Ensure compliance with all relevant systems and provide the necessary governance to ensure system optimization and consistency throughout Conuma Coal Resources
  • Provide feedback on the effectiveness of systems to continually improve performance and ensure the needs of the Business are met
  • Strive for “Best Practices” in Contract Management


  • Contribute and oversee the delivery of departmental plans through management of personal time and continuous improvement objectives
  • Understand all contexts of responsibilities and ensure work is adequately completed
  • Identify areas for self-development seeking ongoing education, support and performance feedback
  • Foster collaborative relationships with team members, ensuring Conuma Coal Resources culture and values are promoted in all interactions

Legislative Requirements

  • Compliance with all Laws and regulations applicable in the jurisdiction of British Columbia and the country of Canada

Qualifications and Experience

  • A degree in a Business discipline is desired
  • Purchasing accreditation, PMAC or equivalent
  • Proven experience in the field (minimum of 5 years) Purchasing, Contractor Management, Contract Implementation
  • A detailed knowledge of tender processes, Contractor Management
  • A strong understanding of supply chain integration relating to other business functions to deliver optimum operating and cost performance
  • Knowledge of business systems and ancillary programs with the ability to extract data relevant to the role and commercial development
  • A track record for continuous improvement

Skills and Abilities

  • A keen Business acumen and an understanding of issues and solutions relevant to Mine Sites and processes
  • Strong interpersonal and negotiating skills that can influence and achieve the necessary buy-in from key stakeholders
  • Knowledge of Legislation relevant to Mining
  • A high level of strategic thinking, planning and problem solving
  • Understand key safety risks and ways to mitigate those risks
  • Be confident in personal skills to provide mentorship and leadership within the Business

Work Location / Travel

This position would be based out of the Vancouver Office with 1 week per month (or as required) working with the front-line stakeholders in the Tumbler Ridge office.
